1. Statutory Compliance Automation

  • Provident Fund (PF/EPF): The standard contribution rate is 12% from the employee and 12% from the employer. The employer’s 12% contribution is generally split between the Employees’ Pension Scheme (EPS) and EPF, with 8.33% allocated to EPS and the balance to EPF. The statutory wage ceiling for mandatory contributions is ₹15,000 per month, subject to applicable rules and provisions for contributions on higher wages. The software should also support applicable EDLI and EPF administrative charges and automated Electronic Challan-cum-Return (ECR) generation for EPFO. 
  • Employees’ State Insurance (ESI): The contribution rate is 4% of wages in total, comprising 0.75% from the employee and 3.25% from the employer. The wage ceiling for coverage is ₹21,000 per month, with a ₹25,000 ceiling for persons with disabilities. 
  • Professional Tax (PT) and Labour Welfare Fund (LWF): The software should apply state-specific PT and LWF rules, including applicable rates, thresholds, exemptions, payment schedules, and filing requirements. Professional tax is constitutionally subject to a maximum of ₹2,500 per person per year. 
  • TDS: The software should calculate salary TDS under the applicable provisions of the relevant income-tax law, support quarterly salary-TDS reporting, and generate the required employee tax certificate. For the current 2026 framework, the quarterly salary-TDS statement is Form 138 (formerly known as Form 24Q) and the applicable employee tax certificate is Form 16. Salary payments made up to 31 March 2026 remain governed by the Income-tax Act, 1961, while payments made from 1 April 2026 are governed by the Income-tax Act, 2025. 
  • Gratuity and the Labour Codes: The software should calculate and track gratuity liability under the Code on Social Security, 2020, including the revised definition of wages applicable from 21 November 2025. It should also support the revised wage definition and the 50% rule under the Labour Codes, under which the excess of specified allowances and benefits over 50% of total remuneration is added back to wages for statutory purposes.
